Job Description

Basic Function:
The function of the Office Assistant is to provide administrative/customer service to anyone seeking Dean of Students assistance, and to help maintain the general operation of the office. Interest in the Spring/Summer as well as Fall semester is welcome!

Duties

Customer Service:

Welcome guests to the Dean of Students Office and triage appropriately
Provide excellent, timely, and sensitive customer service in a fast-paced and private environment
Answer a multi-line telephone; take detailed and accurate messages and communicate them effectively with appropriate staff member
Handle communications, information, and data with sensitivity and privacy

Administrative:

Assist in creation and maintenance of office files and databases
Assist with ongoing and immediate projects in support of DOS Programs
Support with inventory of office supplies as needed
Maintain a neat and presentable work area
Complete the Daily/Weekly Office Assistant check-list
Provide back-up support for Administrative Assistant
Pick up, sort, and distribute mail
Assist with event/program set-up and take down as needed
Review media (U-M Social Media and Michigan Daily) for current trends, topics, etc as needed

Job Requirements

Scheduling & Availability:

Spring/Summer hours are required; interest in staying for the Fall semester preferred; scheduling for the Fall semester will be discussed as the term approaches
The Dean of Students Office is open 8am-5pm, Monday-Friday
A minimum of 2.0 hrs per shift (up to approx 15.0 hrs per week)

Skill & Integrity:

Students are expected to cultivate an environment of warmth and support by demonstrating professionalism to those seeking assistance from the Dean of Students, as well as each other
Students are required to maintain the privacy of the office
Effectively manage their time while working
Reasonable knowledge of and ability to use standard business software and computer applications (Excel, Word, Outlook, PowerPoint) and general office equipment is necessary
Candidates must be able to work with a diverse group of faculty, staff, and students and to follow both verbal and written instructions
A high attention to detail and level of accountability

Educational Value
This job will provide the student with the opportunity to function in a fast-paced, multi-faceted student affairs operation while learning administrative processes and office management operations in a higher education setting.

A minimum of 2 hrs to 8 hrs per shift (29 hrs per week total)

Compensation
$11.00 per hour

Time Frame
Student candidate must be available to work during the Spring/Summer semester, Monday through Friday from 8am to 5pm. Shifts typically start at 10am and go until 3pm but can also be flexible depending on coverage needs and student availability. Ability to stay on for the Fall semester as well is preferred.

Start date: ASAP

A COVID-19 vaccination and booster shot (when eligible) is now required for all staff under a revised U-M vaccination policy. The deadline for Ann Arbor campus community members to receive the booster shot is February 4, or as soon as they are eligible thereafter, based on their individual vaccination schedule.
